Description

The Commercial Assistant provides administrative support to ensure efficient operation of the Commercial department. This role involves managing schedules, coordinating meetings, handling communications, and supporting project execution and documentation.

**Responsibilities**

**Coordinate and schedule meetings, appointments, and travel arrangements.**

**Maintain organized filing systems (digital and physical).**

**Support budget tracking, invoice processing, and expense reporting.**

**Liaise with internal teams and external partners to ensure smooth communication.**

**Assist in onboarding new employees.**

**Track project timelines and deliverables, providing administrative support to project teams.**

**Ensure compliance with company policies and procedures.**

**Initiate and track contract requests through internal systems and workflows.**

**Coordinate with legal, procurement, and business stakeholders to ensure timely contract execution.**

**Maintain accurate records of contract versions, approvals, and expiration dates.**

**Monitor contract compliance and flag any deviations or renewal needs.**

**Serve as a point of contact for contract-related queries and documentation retrieval.**

**Minimum Requirements**

**Bachelor’s degree or equivalent experience in business administration or related field**

**2+ years of administrative support or office coordination experience**

**Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)**

**Strong organizational and time-management skills**

**Excellent written and verbal communication skills**

**Ability to handle confidential information with discretion**

**Preferred Requirements**

**Experience in similar or related field and/or international environment**

**Basic knowledge of the function/business area supported (safety, sales, customer service, legal, compliance, etc.)**

**Familiarity with terminology of supported areas (Marketing, Medical, Logistics etc.)**

**Experience with enterprise tools (e.g., SAP, Concur, SharePoint)**

**Experience with contract lifecycle management systems**
